• The Shropshire Shufflers Club Constitution and Rules

    1. That this Club be named ‘Shropshire Shufflers’ and that its object is the promotion of all aspects of running and encouragement for one and all to participate in all aspects of running irrespective of their ability and/or experience; and that its members be amateurs defined by the governing bodies as follows: ‘An Amateur is a person who competes for the love of sport and as a means of recreation, without any motive of securing any material gain from such competition’.

    2. That the Club colours be Red, White and Blue.

    3. That the Club comprises of:

    (a) Ordinary Members – those who have paid an annual subscription to the Club on joining or who have paid a renewal subscription by 1 February in any one year. All persons aged 16 and over who are in full-time education and are known as students; such persons shall not be required to pay an annual subscription.

    (b) Vice-President(s) may be elected at the Annual General Meeting for services to the Club.

    (c) Life Members – the Committee have the power to elect free life Members at their discretion.

    (d) Juniors between the age of 16 and 18 may become members but must be accompanied by an adult member until they reach the age of 18. They shall not be entitled to vote at the AGM.

    4. That the annual subscription for ordinary members be determined by the Committee annually and announced at the Annual General Meeting.

    5. The Club year shall commence on the 1 January and the annual subscription shall fall due on that date. Subscriptions must be paid no later than 1 February each year. Membership not paid by 1st February will be deemed to have lapsed and renewals subject to a £5 re-joining fee. Persons joining after 1 October in any one year, will be exempt from paying any further subscription until December 31 of the following year.

    6. It shall be understood by becoming an ordinary member they shall bind themselves to the constitution and rules of the Club and if the conduct of any member be inconsistent with the character and the interests of the Club, the Committee shall have the power to expel such members. The expelled member shall at once cease to have any claim upon the Club or its funds.

    (a) Each member shall be responsible for their own health and safety and should heed the advice offered by Club coaches and officials. In accordance with the clubs risk assessments and health & safety rules the wearing of headphones is not allowed. The wearing of id, such as cram tags, is recommended to be worn or carried. Light or Reflective clothing must be worn by all during winter months.

    (b) Each member shall have due regard for the rights and property of the general public and refrain from causing annoyance or distress at all times.

    (c) The officers and officials of the Club shall not be held responsible for any injury, loss or damage to a club member’s property or person.

    7. Each ordinary member upon joining the Club shall be sent a copy of the Club rules together with their membership card.

    8. The Management of the Club shall be vested in a Committee comprising of a Chairperson, a Secretary, a Treasurer and not more than seven members all elected at an Annual General Meeting. All persons so elected shall retire at the next Annual General Meeting but remain eligible for re-election. The committee shall have the power to fill any vacancies which have not been elected by the Annual General Meeting and any which may arise during its term of office. The Committee may also co-opt such additional members, as it may deem necessary for part or all of the period until the next Annual General Meeting. The Committee may appoint sub-committee(s) at its discretion.

    9. A committee meeting shall be convened at least once in each period of ten weeks. Absence from the Committee on four or more successive occasions by a member shall warrant removal by the Committee unless the Committee are satisfied with the reason given for such absence. A quorum at Committee meetings shall not be less than 5 members, inclusive of officers.

    10. The Annual General Meeting shall be held in February of each year, unless under exceptional circumstances the Committee deem otherwise. Members shall receive at least 14 days’ notice of the Annual General Meeting. A report of the Club’s activities shall be presented on behalf of the Committee, together with an audited financial statement of the Club’s affairs for the year ending on the previous 31 December. Approval of these items shall be sought from the meeting. Any person who is a current member of the Club shall be entitled to attend and vote at the Annual General Meeting.

    11. The income and property of the Club shall be applied solely to its stated objects and no member of the Club shall receive payment for his/her services as a member.

    12. In the event of dissolution, any money or property remaining shall not be distributed among the members but devoted to a Club or Society with similar aims or to a Charity or Trust approved by the British Athletic Association or UK Athletic Association. Dissolution and disposal of the assets of the Club shall only be determined by a properly convened General Meeting of members at which at least two thirds of those attending are in favour of such a decision.

    13. The constitution and rules of the Club may only be altered, added to or deleted with the consent of at least two thirds of those attending a properly convened Annual General Meeting or Special General Meeting. Members wishing to have consideration given to rule amendments must submit details of the changes proposed to the Club Secretary, in writing, at least 28 days before the date of the General Meeting.

    Note: These constitution and rules were first drawn up at the foundation of the Club in May 1981, amended in July 1996, amended in February 2001, amended in February 2006 and amended to the above wording at the Annual General Meeting held on 21st February 2012.
